In this post, we’ll walk through powerful bulk operations you can use right now to shave hours off your weekly workflows. Let’s dive in!

The Agency View - Your Window to Bulk Operation Paradise

The Agency View gives you a high-level overview of workspaces and users under your account.

To access it, select Agency View from the top of the workspace selection menu at the top of your navigation bar.

From here, you can quickly identify problems that require your attention. Then, you can take action immediately. 

For example, you might need to reconnect expired social media accounts for multiple clients. You can do that from the Agency View in just a few clicks instead of switching to individual workspaces.

You can add new workspaces, freeze a Workspace, or remove a workspace you no longer need. The Agency View also supports robust user management via the Users tab.

That’s not all - you can also organize and group workspaces using Workspace Tags!

Organize Your Clients With Workspace Tags

We’ve talked at length about Category Tags and how they help organize your content, automate your post scheduling, and enhance your reporting.

But did you know that you can also use tags to group and organize your workspaces?

This is perfect for agencies that manage franchises, discrete industries, or region-based businesses. 

Just click the Add/Manage button under Your Workspace Tags to create and manage tags. Then, click one or more tags to filter those workspaces in the Agency View.

But the real magic of Workspace Tags lies in using them with Bulk Operations and Designated Recipient lists, which we’ll explore next.

Create Custom Contact Lists with Designated Recipients

By default, your approval links will go to Admins and Brand Managers for a given workspace. 

But not all customers want or need a Cloud Campaign user account. Most of the time, they just want content approvals and reports sent to them directly. This is where your custom Designated Recipient lists come in.

Instead of creating and sending these individually, which is time-consuming, you can create Designated Recipients lists in each workspace to automatically send approvals and reports to members of the list. Here’s how!

First, access Brand Settings from either the gear icon in the left navigation bar or from the dropdown menu under your account in the top right of your screen. Then, click the Notifications tab.

Scroll down to External Recipients and flip the toggles for Reporting and Content Approvals, as needed, then add the email address of the recipients you want to send to. Easy peasy!

Each External Recipients list is unique to each workspace. When you create bulk reports or approvals, which we’ll explore in a bit, you can select to email External Recipients the report for each workspace automatically. 

Meet Your Agency View Bulk Operations

If you are new to the Agency View, you may be surprised by how many tasks you can automate in your managed workspaces. Let’s explore each one in more detail!

Re-Link All Accounts

Sometimes, your client accounts need to be re-linked to Cloud Campaign. This is usually due to expiring account tokens, which have a set time limit.

Logging into each workspace and re-linking accounts is cumbersome when you’re managing lots of accounts - so why not do it all at once?

If you have accounts that need to be re-linked, you’ll get a notification at the top of your Agency View screen, like this:

You can also do this manually by clicking on the Bulk Operations gear icon to access the Re-Link All Accounts wizard.

From here, you can scroll through and re-link accounts or refresh their credentials without switching between workspaces. What a time saver!

Generate Reports

Speaking of saving time - if you’re creating and sending analytics reports one workspace at a time, you’ll love this bulk operation.

The Generate Reports bulk operation helps you quickly create reports for your clients all at once. 

Access it by clicking on the Bulk Operations gear icon and selecting Generate Reports to bring up the Bulk Analytics Reporting wizard.

From here, you can give your reports a title, select the reporting period, included metrics, and workspaces to run reports for.

Additionally, you can select whether to send the reports to designated external recipients of each workspace. 

As a reminder, external recipient lists help you keep clients informed even if they don’t have a user account in Cloud Campaign.

Generate Approvals

You can also create Content Approvals in bulk, just as you would with Analytics Reports.

As with the other functions, click the Bulk Operations gear icon to access the Generate Approvals tool. 

Then, just follow the Bulk Create Content Approval wizard to select the workspaces and content date ranges to generate reports.

You can also choose to send to designated external recipients, just as we did with analytics reports. Neat!

Upload CSV Content

Another time-saving bulk operation power users love is the Bulk CSV Upload tool.

This allows you to upload lots of content all at once from a spreadsheet template. Don’t worry if this sounds complicated - it’s so easy to use that you’ll be uploading bulk content in no time!

To get started, give your happy little Bulk Operations gear icon a click and select Upload CSV Content from the menu.

If you need help using the spreadsheet or need to download it, you can do so from this page or by clicking the link in the wizard.

Follow the instructions on the help page to fill out the spreadsheet correctly. When you’re ready, drag and drop the file onto the wizard or click to upload directly.

Once it’s uploaded, you can individually select the workspaces you’d like to add content to by clicking them. 

You can also use Workspace Tags to select specific workspace groups if you have them set up. 

This is a great way to push templated content to multiple workspaces if you manage franchises, multi-location businesses, or businesses that fall within the same industry.

There are also options to apply or override workspace defaults to the content to enable content recycling, require approval, or add a watermark that automatically customizes content in each workspace.
